PINO is a full-service event agency that has been organizing various conferences, symposia and meetings for governments and social organizations for more than 25 years. PINO's strength lies in the flexibility and personal attention with which they organize each customized event. To register participants, they were looking for a system that could offer the same flexibility.
The reason for the collaboration
The collaboration between PINO and Lively started with the need for a registration system that could offer more than standard functionalities. PINO wanted full control over the registration process, with the ability to build and configure each form itself based on the specific wishes of the client and target group. Think of events with multiple break-out rooms, different lunch times, or participants with different access rights. In addition, the ability to integrate with payment systems was essential.
The first joint projects went smoothly and provided the confidence needed to expand the collaboration. Since then, Lively has not only become a supplier of the registration system, but a permanent partner in PINO's event technology.
What did we implement?
With the collaboration, PINO can largely work independently within the Swoogo platform. By developing templates for various types of events together with Lively, it became possible to deliver customized solutions quickly and consistently. At the same time, it remains possible to use Lively's support for larger events or more complex productions, for example for onsite badge printing.
A striking example of this approach is the Government 360 Degree Congress. For this event, Swoogo was not only used to register and communicate with guests and sponsors, but also Grip for network functionality and FFAIR to collect information from speakers and exhibitors. The strength lay in the link between these platforms, which was technically realized by Lively. As soon as a sponsor was registered in Swoogo, an account was automatically created in both FFAIR and Grip. This automatic workflow has saved a lot of manual work, although a few optimizations are still possible in the link. Upon arrival, guests were able to pick up their badge via the QR code in the event app. It was scanned at one of the badge printing stations set up and managed on site by Lively. This is how the registration process was taken care of from start to finish, both digitally and physically.
What was the result?
The cooperation with Lively has provided PINO with concrete benefits on several fronts. For example, registrations are now faster and more consistent, because all systems can be built in-house using well-thought-out templates. According to Thomas Klink, Project Manager Events at PINO, the biggest advantage of Lively lies mainly in the integration: “I think the link between the different systems is where Lively provides the added value.” Integrations with external modules such as FFAIR and Grip save considerable time, especially at larger and more complex events such as Government 360°C Congress. “At this event, guests were able to pick up their badge directly at various printing stations via a QR code in the Grip app upon arrival, with Lively also providing onsite badge printing. So the complete picture.”
